Reorder Point (ROP): The Shopify Merchant's Guide to Timing

Reorder point is the inventory level at which a new purchase order should be placed so that replenishment arrives before existing stock is depleted.

How Shopify merchants use Reorder Point (ROP)

For Shopify merchants, the reorder point becomes the concrete trigger that converts sales velocity and supplier lead times into PO creation. It must fluctuate dynamically based on seasonal trends and marketing promotions.

Formula

Safety stock formula

Reorder Point = (Average Daily Demand × Lead Time in Days) + Safety Stock

Average daily demand comes from Shopify order history. Lead time includes production, shipping, and receiving. Safety stock is added as a buffer.

What matters in practice

  • ROP transforms abstract demand into a concrete 'order now' threshold.
  • A common error is multiplying safety stock instead of adding it.
  • Should be recalculated when demand or lead times change.

Why it matters

Common merchant pain points

  • Inventory planning as guesswork, ordering when shelves 'look low'.
  • Underestimating lead times by ignoring production or customs delays.

Native Shopify limitations

  • Shopify does not store a native per-SKU reorder point to drive automatic POs.
  • Low-stock alerts are generic and do not encode lead times.

Benchmarks and reference points

Misaligned inventory can erode approximately 11% of annual sales.

Merchants aim for stock levels to deviate by no more than ±5% from forecasts.

How to apply this in practice

  1. Step 1

    Calculate Sales Velocity

Review Shopify 'Sales by Product' reports and divide units sold by 30 days.

  2. Step 2

    Define Total Lead Time

Sum the days from PO issue to inventory being 'ready for sale' in your warehouse.

  3. Step 3

    Apply Buffer

Add safety stock units to the (velocity × lead time) result to set the final threshold.

Examples

Viral Product Spike

The ROP is manually lowered during a spike to trigger an earlier PO, ensuring stock arrives before the trend peaks.

Local vs Overseas Sourcing

A brand sets a 200-unit ROP for local suppliers (3-day lead) and a 1,500-unit ROP for overseas (45-day lead).
